A large Canadian Retail Company (CRC) has improved efficiency in its accounts payable department by better managing its accounts payable documents. CRC’s goal is to be able to capture, access and retrieve accounts payable invoices in an efficient and seamless manner. Electronic searches and retrievals are quick, linked to the company’s ERP system and users have a single point of access to complete and accurate information.
The objective of this imaging initiative was to eliminate existing microfilm systems and convert all hard-copy expense and non-merchandise invoices into an electronically imaged format that could be searched, viewed and shared by multiple users throughout the country and supply chain. After a thorough competitive process, CRC chose Data Repro Com Ltd’s DRC-ifile outsourced document management service based upon cost competitiveness, return on investment and quick time to market.
On a daily basis, Data Repro Com Ltd picks approximately 20,000 documents from CRC’s Accounts Payable Department, using the company’s own vehicles and drivers. Upon arrival at our Kodak Authorized Document and Data Conversion Centre, documents are prepared, scanned, indexed and uploaded to the DRC-ifile system for immediate retrieval over a secure internet connection for all 120 users throughout the country. Documents are available on the system for retrieval the same day they are picked up (6-8 hours turnaround).
