DRC Helps Provincial Energy Agency deliver improved Access to Information

DRC is leveraging its secure environment and high volume conversion infrastructure, and has built customized applications for transportation tracking, production management and urgent request processing, into a dedicated and highly functional conversion platform, specially designed for the Agency. DRC works closely with the Agency to schedule libraries to be converted in order to balance the day-to-day information access requirements of the Agency with the production capacity of DRC. As a result, DRC returns high quality full text searchable digital images, along with the original microfiche, within a specific timeframe every week. DRC has delivered in excess of 750,000 images within one week, during peak periods. Dealing with massive amounts of microfiche and images presents significant challenges. DRC has leveraged its extensive experience in dealing with large volume microfilm/microfiche conversions for other large Canadian government departments, professional associations and private sector organizations, and has significant experience in converting these same types of datasets. DRC has put processes into place to deal with the age, nature and variation of the original film images created over many years of image capture, processing and storage. Using sophisticated software and expert knowledge, gained from over 39 years of film generation and processing experience, DRC has delivered consistent image quality through the conversion effort. DRC implements POD and Returns Imaging and Automation Solution

DRC has developed an innovative solution for customer signed invoices or POD’s (Proofs of Delivery) plus Returns and related documents. Understanding the impact on DSO (day sales outstanding), write-offs and customer dissatisfaction, caused by not having immediate access to all information needed to resolve customer disputes and to collect on invoices, DRC has developed an innovative solution which automates POD capture and integrates imaged documents with customer billing/invoicing database applications. Outstanding POD reports automatically search, retrieve and present signed POD images to customer service and collections personnel to help resolve disputes and secure payment. Copies of signed POD’s can be automatically re-printed, e-mailed or faxed to directly to customers, further shortening invoice to cash cycles. DRC’s solution requires no capital investment and has no impact on existing internal business and IT infrastructures. Secure access to much needed back-up documentation is easily accessed on any company user desktop via a common browser. DRC supports leading Canadian retailers with on-line access to Accounts Payable back-up documents.

Faced with need to reduce administrative expenses along with the need to invest in capital directly related to revenue generation, two Canadian retail giants have turned to DRC for help in managing documents associated with the payment of non-EDI vendor invoices. For these respective Accounts Payable operations, paper based invoices and associated back-up documents form a considerable portion of the Payables transactions which in turn directly impact costs (space, labour etc.) efficiency and compliance. DRC's DRC-ifile document conversion and hosted document management service has had a direct impact on the cost and risk of managing critical business records. DRC uses company owned and operated vehicles and drivers to securely transport daily processed invoices to DRC, a Kodak authorized Document and Data Conversion Centre. DRC utilizes special techniques to integrate ERP data already captured during the customers' data entry process to automate document indexing functions and to ensure unparalleled accuracy. Only authorized Accounts Payable and vendor service staff, and management, have immediate on-line access to documents to address vendor inquiries and audit requests. DRC's automated approach has streamlined manual and inefficient business processes dependent on paper back-up, where access to data alone is not sufficient. As a measure of additional assurance, both organizations are provided with an off-line copy of all documents on Kodak Archive Reference Media (microfilm) for vaulting, enabling compliant long term storage and secure document destruction. In the meantime, users more effectively leverage on-line access to document images to increase productivity and responsiveness.

Kodak Canada turns to DRC for On-line Document Imaging

From now on, Kodak Canada will be responding to inquiries from a newly implemented on-line document management solution, totally hosted by Data Repro Com Ltd (DRC). DRC is a certified Kodak Document and Data Conversion Centre and has been a certified Kodak ImageGuard Lab for almost 30 years. Relying for many years on their in-house Kodak microfilm system, Kodak Canada will now enable internal users to directly access needed Sales Order documentation right from their very own desktop in seconds, increasing service levels and responsiveness. DRC will be responsible for document pick-up and conversion which includes merging the documents with Kodak provided transaction data from the company's ERP system. The documents will be fully managed and hosted within DRC's DRC-ifile document management platform which utilizes highly functional document and content management software, from a leading software provider. Digitally imaged documents will be backed-up using Kodak developed Digital Preservation technology, for long term archiving, providing unequivocal acceptability under the Canada Evidence Act. |
